What work can be automated

Manual tasks that suit automation.

Most repetitive administrative tasks can be automated fully or partly. Here are the most common ones we see among Swedish small businesses.

Invoice handling

Reminders for unpaid invoices, syncing with Fortnox or Visma, interest invoices. Often saves 2–4 hours a week.

Email sorting

Classify incoming email, send standard replies, forward to the right person. Works with Outlook and Gmail via Power Automate or n8n.

Order confirmations

Pull order data from forms or email, update a register and send a confirmation to the customer — without you doing anything manually.

Reporting and spreadsheets

Compile time reports, sales figures or inventory data from several sources into one document. Can be scheduled to run automatically every week.

Data transfer between systems

Copy data from one system to another — e.g. from CRM to bookkeeping, from a form to a spreadsheet, from email to a ticketing system.

Reminders and notifications

Contract renewals, periodic tasks, internal deadlines. A simple automation in Power Automate or n8n handles the reminders for you.

How it works

Three steps to your automation assessment.

Automationskollen analyses your task and gives you a concrete answer — without you needing to know anything about automation.

01

Describe the task

Tell us what you do manually, how often it happens and roughly how long it takes each time. The more detail, the better the assessment.

02

The analysis runs

An AI model assesses whether the task is repetitive enough, rule-based enough, and technically feasible to automate with available tools.

03

Get your assessment

You get an automation score, a recommended tool, estimated time saving, risks and a concrete suggestion for the next step.

Real examples

Invoice reminders

An accounting consultant with 40 clients sent reminders manually every week. The process was automated against Fortnox — no unpaid invoice gets forgotten anymore.

Tool: PayLoop + Fortnox Time saved: ~3 hours/week
Retail

Order confirmations

A retail business manually copied order data from email to Excel and sent a confirmation to the customer. The flow was built in n8n and now takes zero manual time.

Tool: n8n Time saved: ~5 hours/week
Consulting

Weekly reporting

A consultancy compiled time reports from the team manually in Excel every Friday. The process was automated in Power Automate with data from SharePoint and Teams.

FAQ

Questions about automation for small businesses.

How do I know if my process can be automated?

A process is a good automation candidate if it's repetitive, rule-based, and follows the same steps every time. Factors in favour of automation: the task happens at least once a week, it takes more than 30 minutes each round, and it involves copying data between systems or sending the same type of message over and over. Automationskollen gives you a concrete assessment based on your specific task.

What does it cost to automate invoice handling?

Cost depends on which tool and how complex the process is. Power Automate is included in Microsoft 365 and costs nothing extra if you already have a licence — simple flows can be set up in a couple of hours. n8n is open source and free to self-host. Consultant help to build and deploy an invoice flow against Fortnox or Visma typically costs 5,000–20,000 SEK depending on complexity.

Do I need IT skills to get started?

Not to use Automationskollen — the tool gives you an assessment without needing to understand the technology behind it. Actually carrying out the automation depends on the tool: Power Automate and n8n are built for non-technical users with drag-and-drop interfaces. More complex integrations against business systems may need consultant help. Klarar can help you the whole way from assessment to implementation.

Which automation tools work best for a small business in Sweden?

For most Swedish small businesses we recommend Power Automate (included in Microsoft 365), n8n (open source, free to self-host), or Make. Power Automate works best if you already work in Outlook, Teams and SharePoint. n8n is more powerful and flexible but needs a bit more technical familiarity. For invoicing and bookkeeping there are specific integrations against Fortnox and Visma. Automationskollen helps you choose the right tool based on your task.

How long does it take to automate a process?

A simple email flow or reminder can be done in a couple of hours with a no-code tool. A more complex process involving several systems — for example pulling order data, updating a register and sending a confirmation — can take 1–3 days to build and test. Automationskollen gives you an estimated monthly time saving so you can judge whether the investment is worth it.
